It arrives by email, someone copies it into the management system, someone else copies it again into a spreadsheet for the report.

You have a way of working that is the reason clients choose you, and every off-the-shelf system asks you to give it up.

Online store, ERP, courier, accounting: four systems, four logins, none of them exchanging data.
The software you have is frozen
It works, but whoever wrote it is gone and nobody dares touch it. That is a case of its own: it is called software rescue.

An off-the-shelf product costs less and you can have it tomorrow. In that case custom is the wrong investment, and we say so in the first meeting — not after three weeks of analysis.

If the way you work changes every month, carving it into software is premature. Light tools are better until it settles.

How we actually work.

Four stages. None of them starts until the previous one is closed and signed off by you.

Analysis
We spend time with the people doing the work, not only with the person commissioning it. We look at the real files, the paper forms, the spreadsheets holding the company together. The output is a document listing functions, priorities and what stays out of version one.

Fixed quote
Price and scope in writing before a line of code. Not time and materials, not "we'll see". If you ask for something new mid-project we quote it separately and you decide.

Development
We write in PHP/Laravel, a mature framework with a very large community: tomorrow any competent developer can pick it up. Integrations through APIs. We release in parts, so you see something working early and can correct course while there is still time.

Release and support
Migration of your existing data, training, documentation. Then support: ongoing or on demand — your call, it is not required to keep the software running.
The analysis document is yours even if you stop there. If you decide to have someone else build it, you still hold a usable specification.

It costs too much next to an off-the-shelf product.
At the start, yes, almost always. The honest comparison runs over three years: per-user fees, add-on modules, customisations billed separately, and the hours of manual work the standard product does not remove. During analysis we put both scenarios side by side, with your numbers.
What if you disappear?
That is exactly why we use a widely adopted framework, leave the code with you and write the documentation. Your software must not depend on our existence. Recovering projects abandoned by other vendors is one of our two specialisations: we know what that damage looks like.
You won't understand my industry.
We do not start by claiming we do. We start by watching how you work today. You bring the domain knowledge, we bring the way to turn it into software.

Before you ask.

We do not quote off the top of our head before seeing the project. What we can tell you straight away is what the price is made of: days of analysis, days of development, integrations with external systems — the item that varies most — and migrating the data you already have. In the first meeting we can tell quickly whether the project sits in the order of magnitude you have in mind. If it does not, we say so there and then.
